Do you send a V2 email to correct mistakes?

Purpose:

When mistakes are made in cloud-based files or project management systems like Jira or Confluence, they are easy to update and correct. However, correcting an email that has already been sent is impossible without sending an update.

 

Guidelines:

How do we fix emails with wrong emails?

We Send a V2

  • Reply to the same email thread with a follow-up email with the updated content.
  • Include the version number at the top of the email along with the reason for the update so the reader can note critical changes.
  • Optionally highlighting critical changes in red that are being updated in the new email will also alert reader to the changes
  • Use V3, V4, V5 and so on if you have to send multiple revisions.

Example

V2 – Fixing dates and print numbers for posters

Hi Steffi,

As per our conversation this afternoon, you are comfortable taking > over the following tasks for our Mother’s Day promotion, which will > be held in our office cafeteria on May 13th.

Please have all the artwork ready and printed items delivered by May 9th so there is sufficient time to install them.

  1. Can you create print-ready artwork for the following items?
    1. 8 x A3 posters
    2. 1 x Pull up banners ( 610mm x 1500mm)
    3. 1 x Mini pull-up banner
    4. 1 x Social media frame
  2. Can you get the cost approved by accounting and get it printed?
